"We want to simplify the application process and make it easier for parents, guardians, and families to submit forms online and help schools digitize and streamline administrative tasks."

The client is currently supporting local private schools through Ardent to streamline administrative tasks. These tasks included managing classes, admissions, tuition payments, school tours, and more.

What is Ardent?

Ardent is a web-based school administration tool designed to support parents, guardians, families, and school administrative staff.

Research

Research Goals:

  1. Understand current challenges and needs
  2. Capture accessibility concerns
  3. Analyze overall task completion
  4. Identify avenues for managing multiple applications at once

Usability Interviews

These were 45-minute in-depth interviews on Zoom to understand participants’ backgrounds, and history with school admissions, analyze their workflows in a sandbox environment for submitting applications, and identify usability challenges during task completion.

Insights

Using Miro, we captured insights, highlighted challenges, and documented actionable recommendations as the team worked remotely. Additionally, I facilitated a co-creation workshop with the client to brainstorm redesign ideas and prioritize improvements.

Accessibility issues, such as unclear instructions and visual inconsistencies, created barriers for some users.

Navigation between application stages was confusing and lacked clear progress indicators.

Repetitive forms, and gender-neutral language worsened the overall experience.

Redesign

"We want your help to design a new home page screen for parents with multiple children, and simplify the application process using a progress bar."

Due to time and engineering constraints, the client prioritized simplifying the current application and home screen redesign. I created the mockups using Figma and used Miro to communicate the user flow.
